Questions

Frequently asked questions.

Every question asked across the site, in one place. If yours isn't here, ask us directly — we would rather answer it before a demo than during one.

Getting started

Do our properties need automated metering?

No. HEP makes use of the existing infrastructure and practices of hotels. Raw daily and monthly data uploads through Excel connectors that attach to the sheets each property already keeps. The IoT module, which enables real-time acquisition from meters and equipment, is entirely optional.

We already report monthly. What does HEP add?

The monthly cycle stays exactly as it is — HEP keeps it and adds a daily one underneath. A monthly total tells you consumption rose; it cannot tell you it rose because a chiller ran through four nights in week two. Month-to-date views compare day for day against last year and against the equivalent number of budget days, so a deviation is visible while there is still a month left to correct it.

How do we get started?

Request a demo. We set up a site, load a sample of your data, and you see your own dashboards, reports and regression models rather than a demo account. A single property can be live quickly; a portfolio goes live in phases.

How long does deployment take?

A single property can be live quickly; a portfolio goes live in phases. The pacing item is almost always how fast historic data and tariffs can be gathered from the properties.

Is HEP installed on our servers?

No. HEP is a SaaS platform, accessible from any browser, anytime.

Which utilities can we track?

Electricity, water, LPG, fuel oil, gas and district cooling, alongside waste, cost, occupancy, room nights, and cooling and heating degree days for normalisation. Submetering is unlimited on any utility.

How does data get into the portal?

Through Excel connectors that attach to any existing hotel spreadsheet, across five structured import streams — Utilities Monthly, Utilities Daily, Waste Monthly, Emission Factors Yearly and Survey Import. Climatic data updates automatically every day, so normalisation needs no manual input.

Can the submetering follow our own layout?

Yes. Submetering structures are configured per property — by system, by building, by department, or around specific high-consuming areas. Meters can be read individually or stacked to combine several into one trend.

Is there a limit on the number of submeters?

No. HEP supports an unlimited number of submeters for any utility, each comparable against the same daily period of the previous year with climate and occupancy overlaid for both years

Do we need to install new meters?

Not to start. HEP works with whatever submetering already exists. Where you want more granularity, the optional IoT module can bring in additional devices — energy, gas, water, sewage and air quality — via an IoT connector or standard Ethernet and GPRS interfaces.

Does HEP handle multiple currencies and countries?

Yes. HEP supports multi-property, multi-currency portfolios, applies emission factors yearly so carbon reflects the right grid for each location, and updates climatic data automatically every day.

How many reports are there?

110 distinct views and exports — 10+ covering a hotel’s total utilities, 70+ custom reports drilling into individual utilities, 15+ group-wide comparative reports, and the daily month-to-date views on top. All are configurable, and month-to-date views are available daily on top of them.

Can reports be compared against budget?

Yes. Custom reports can be run against budget, and month-to-date views compare against the equivalent number of days of the budget as well as the same period last year.

What kinds of alerts does HEP send?

HEP alerts on missing data — properties that have not uploaded their utilities or documents are flagged and the responsible users notified. Alongside that it dispatches scheduled reporting: 10 and 20-day trend reports and the full monthly report with year to date.

Who can receive reports?

Subscriptions are configured per property and per role, so property, cluster and group each receive the level of detail they need without anyone having to remember to forward anything.

How do we know an efficiency project actually worked?

Regression analysis. HEP builds a regression model from a baseline year of your choice and then tracks actual against predicted consumption for the period that follows, so savings are measured on a like-for-like basis rather than against a raw year-on-year number.

What drives the regression model?

Cooling degree days, heating degree days and occupancy. The regression equation and R² are shown, so the model is auditable rather than a black box, and monthly variation is reported in both kWh and per cent.

How is the comparison kept fair between very different hotels?

Through normalisation — intensity metrics per room night, guest night or built-up area, and climate correction using cooling and heating degree days that update automatically every day.

Does HEP cover carbon and ESG, or just utilities?

Both, with equal weight. Carbon is calculated from your own consumption using emission factors maintained yearly per location; waste is captured monthly alongside utilities; the ESG survey covers eight topics with evidence; and science-based targets for energy, carbon, water and waste are tracked on every property dashboard.

Which carbon scopes are covered?

Scope 1, Scope 2 and Scope 3. Scopes 1 and 2 are calculated directly from your consumption using emission factors maintained yearly per location; Scope 3 covers the value-chain emissions around them. Further ESG capability is in development behind it.

Where does the carbon number come from?

From your own consumption. HEP applies emission factors, maintained yearly per location, to the utility data already in the portal — so the carbon figure and the energy figure cannot disagree, and there is no reconciliation step between them.

Is waste in the same cycle as utilities?

Yes. Waste Monthly is a structured import stream submitted alongside the utilities data, and waste segregation appears as an indicator in the total utilities reports.

What does the ESG survey cover?

Eight topics: Property, Energy & Carbon, Water, Waste, Health & Environment, Sourcing & F&B, Community & Social, and Residences. Responses and supporting evidence come in through the Survey Import stream, so they are versioned per property rather than emailed around as attachments.

Can we set reduction targets?

Yes, for energy, carbon, water and waste. Consumption and intensity are tracked against target year to date on the property dashboard, with the reduction target percentage and performance stated explicitly. See targeting & benchmarking.

Can we benchmark against the industry?

Yes, through the Cornell Hotel Sustainability Benchmarking index, alongside internal comparison across your own portfolio by region or hotel type. That sits on the targeting & benchmarking page.

Can we add our own measures?

Yes. Users can add new efficiency measures to the catalogue, and those entries are then shared with the other users and properties on the portal — so a fix found in one hotel becomes available to the whole group.

Who can see the action plan?

The property, its region and group management. From a regional or group perspective, measures can be tracked across individual properties, regions and categories, with key parameters, comments and files attached to each.

Where do audit reports live?

In the Energy Audit Centre, stored per property with the associated asset lists and accessible across the group.

How is HEP different from an ESG reporting platform?

Hotels already report monthly, and most platforms in this category are built to receive exactly that — a monthly figure formatted for a disclosure framework. HEP keeps the monthly cycle and adds daily tracking underneath it, then does the sustainability reporting from the same dataset: targets, carbon, waste, ESG survey and CHSB benchmarking. You get the compliance output and the operational control from one system. There is a fuller version of this argument on Why HEP.

How is access controlled?

User roles and site access are configured per property, so each team — and, for management companies, each owner — sees exactly what it should.

Who owns the data?

You do. Your data is yours and remains exportable.

How is HEP priced?

Per property per year, scaled to portfolio size and the modules you licence. Tell us your portfolio and we will send an indicative figure.
